- We collect only what we need to run the Branch.
- We never sell your information or use it for advertising.
- The member directory is for members only, and you control what shows in it.
- You can see, correct, or ask us to delete your information at any time.
1. Who we are and what this covers

SIR San Mateo, Branch One of Sons In Retirement, Inc. ("the Branch," "we," "us"), is a volunteer-run social club for retirees. This Privacy Policy explains what personal information we collect through sirsanmateo.com and our related email and registration services (the "Site"), how we use it, the cookies the Site uses, the few rules for using the Site, and the choices you have.
2. Information we collect

3. How we use your information
- Process membership applications and renewals, and keep the roster current.
- Send Branch newsletters, luncheon notices, activity announcements, and reminders.
- Organize events and activities, including meal counts and field-trip headcounts.
- Publish the member directory so members can stay in touch (see section 4).
- Recognize birthdays, anniversaries, and milestones, if you have shared them.
- Answer reporting requests from SIR Inc. (for example, Branch membership counts).
4. The member directory
Only logged-in members can see the directory. You decide which of your profile fields appear there using the privacy settings in your Site profile.
The directory is for Branch activities and keeping in touch with fellow members only. Please do not copy, sell, or share directory information, or use it for any sales, political, or fundraising purpose.
5. Who we share information with
- Branch officers and activity leaders, as needed for their roles. For example, a leader is emailed automatically when a member joins or leaves their activity group.
- SIR Inc., our parent organization, for membership records.
- Service providers that run the Site for us: WildApricot (website and membership database), its payment processor, and our email delivery services. They may use your information only to provide those services.
- Authorities, if the law requires it.
We do not sell, rent, or trade your information, and we do not share it for advertising.
6. Photos
Photos taken at Branch events may appear on the Site or in newsletters. If you would rather not be pictured, tell the event organizer or email [contact email] and we will remove the photo. Please ask before reusing photos from the Site elsewhere.
7. Security and how long we keep records
Security. WildApricot hosts the Site with encrypted (HTTPS) connections and access controls. Only authorized volunteers can see member records, and only as their roles require. Member-only files, such as bios, can be opened only by logged-in members. No website is perfectly secure, so please use a strong password and keep it private. Your login is personal; please do not share it.
Retention. We keep member records while you are a member and for a reasonable time afterward for Branch history. You can ask us to delete your information after you leave (see section 9).
8. Cookies
Cookies are small text files a website stores on your computer, tablet, or phone so it can recognize your device. Our Site runs on WildApricot, and most of its cookies are set by WildApricot so that logging in, the member directory, event registration, and payments work. We do not use cookies for advertising.

Your choices. You can view, block, or delete cookies in your browser's settings (look under Settings, then Privacy, in Chrome, Safari, Edge, or Firefox). Blocking essential cookies will stop member login, event registration, and online payments from working. Blocking analytics or embedded-content cookies will not. 9. Your choices and rights
- See and update your information anytime by logging in and editing your profile.
- Control directory visibility with your profile's privacy settings.
- Unsubscribe from optional emails using the link in each message. Essential membership notices (such as renewals) will still be sent.
- Ask for a copy, correction, or deletion of your information by emailing [contact email]. We will respond within 30 days. Some records may be kept where needed for Branch or legal purposes.
California residents have privacy rights under state law. We honor the requests above for everyone, and we do not sell or share personal information as those laws define it.
10. Using this website
The Site is for Branch business and fellowship. When you use it, please:
- Keep your profile information accurate and current.
- Treat fellow members with courtesy, and do not post anything unlawful, harassing, or offensive.
- Do not use the Site or its email tools for sales, advertising, outside fundraising, political campaigning, or spam.
- Do not try to get into accounts, pages, or data you are not authorized to see.
The Site is run by volunteers and provided "as is." We try to keep it accurate, but event details, prices, and schedules can change, so check with the activity leader if in doubt. Taking part in Branch activities, including physical activities and field trips, is voluntary and at your own risk. Links to outside websites are provided for convenience, and we are not responsible for their content. The SIR name and logo belong to Sons In Retirement, Inc. We may remove content or suspend Site access for anyone who misuses the Site. Membership itself is governed by SIR and Branch bylaws.
11. Children and changes to this policy
Children. The Site is intended for adults. We do not knowingly collect information from children under 13.
Changes. We may update this policy as our practices change. The effective date at the top shows the current version, and we will tell members about significant changes.
